Fellowship SSI Entry Procedures

If there will be a scholarship student in your project, the SSI registration must be done.  SSI Entry Petition, SSI Scholarship Information Form, SSI Scholarship Student Employment Contract must be filled out with wet signature. Along with these documents, the original student certificate of the scholarship student must be submitted to the BAP unit with the photocopy of the identity card, which make 5 documents in total.

 

Scholarship SSI Exit Operations 

When your scholarship has expired, you need to apply to the BAP unit for SSI check-out procedures. You must make this request before the scholarship period expires. Submit the SSI Exit Petition to the BAP unit with wet signature.

 

Submission of Interim Reports

Fill out the Project Report Form and prepare the interim report in accordance with the format on the form and deliver it to the BAP unit with wet signature. The project continues after the project interim report is approved by the BAP Commission. SUBMITTING INTERMEDIATE REPORT FOR ALL BAP AND THESIS PROJECTS EVERY 6 MONTHS IS OBLIGATORY. FOLLOWING THE 6-MONTH SECTION OF THE PROJECT AFTER THE PASS, ANOTHER INTERMEDIATE REPORT MUST BE SUBMITTED WITHIN THE SUBSEQUENT 2 MONTHS. IF THE REPORT IS NOT DELIVERED, THE PROJECT WILL BE CANCELED AND PENALTY TERMS SPECIFIED IN THE SUBU BAP DIRECTIVE WILL BE APPLIED. 

 

Submission of the Final Report

Fill out the Project Report Form, prepare the final report in accordance with the format on the form and submit it to the BAP unit with wet signature. FINAL REPORT IS REQUIRED TO BE SUBMITTED WITHIN THE SUBSEQUENT 3 MONTHS AFTER THE END OF THE PROJECT. IF THE REPORT IS NOT DELIVERED, PENALTY CONDITIONS REPRESENTED IN BAP DIRECTIVE WILL BE APPLIED.

 

Additional Time Request

Fill out the first page of the Project Request Form and write your request together with its justification. Submit the page to the BAP unit with wet signature. The project continues after the request for additional time is approved by the BAP Commission. ADDITIONAL TIME REQUEST CAN NOT EXCEED 50% OF TOTAL PROJECT TIME. ADDITIONAL TIME REQUEST MAY BE UP TO MAXIMUM 12 MONTHS. PROJECT DURATION WITH ADDITIONAL PERIODS IS 36 MONTHS MAXIMUM.  ADDITIONAL REQUESTED AMOUNT OF TIME CAN BE GIVEN ONLY ONCE THROUGHOUT THE PROJECT. ADDITIONAL TIME REQUESTS SHOULD BE MADE 1 MONTH BEFORE THE END OF THE DUE DATE IN THE CONTRACT THE LATEST.

 

Additional Budget Request

Fill out the Project Request Form and write your request together with its justification. Fill out the budget table on the second page of the form with the information of the changing budget. Submit the form to the BAP unit with wet signature. The project continues after the additional budget request is approved by the BAP Commission. NO ADDITIONAL BUDGET CAN BE REQUESTED FOR THE PROJECTS OF INCREASING SCIENTIFIC COOPERATION AND FOR THESIS PROJECTS. ADDITIONAL BUDGET IS NOT PROVIDED AND THE BALANCE EXCESS CANNOT BE USED AFTER ALL THE BUDGET ITEMS ARE MET. 

 

Budget Change Request

Fill out the Project Request Form and write your request together with its justification. Fill out the budget table on the second page of the form with the information of the changing budget. Submit the form to the BAP unit with a wet signature. The project continues after the budget change request is approved by the BAP Commission. FOR EACH PROJECT BUDGET SHIFTS AMONG PROJECT ITEMS CAN BE PERFORMED ONLY FOR ONCE. 

 

Project Suspension 

Fill out the first page of the Project Request Form and write your request together with its justification. Submit the form to the BAP unit with a wet signature. The project continues after your request is approved by the BAP Commission. IN CASE OF A HEALTH PROBLEM OR UNFORESEEN IMPERATIVE CONDITIONS, THE BAP COMMISSION MAY SUSPEND THE PROJECT UP TO 12 MONTHS WITHOUT DEDUCTING FROM THE NORMAL PERIOD OF THE PROJECT. 

 

Changing the Project Title  

Fill out the first page of the Project Request Form and write your request together with its justification. Submit the form to the BAP unit with a wet signature. The project continues after the project title change request is approved by the BAP Commission. 

Change of Project Executive Members

Fill out the first page of the Project Request Form and write your request together with its justification. Submit the form to the BAP unit with wet signature. The project continues after the request for a change of executive member is approved by the BAP Commission.

Adding a Researcher / Scholarship student 

Fill out the first page of the Project Request Form and write your request together with its justification. Submit the form to the BAP unit with a wet signature. The project continues after the request has been approved by the BAP Commission.

Removal of a Researcher / Scholarship student 

Fill out the first page of the Project Request Form and write your request together with its justification. Submit the form to the BAP unit with a wet signature. The project continues after the request has been approved by the BAP Commission.

Project Cancellation

Fill out the first page of the Project Request Form and write your request together with its justification. Submit the form to the BAP unit with a wet signature. After the request is approved by the BAP Commission, the project can be cancelled and the cancellation conditions are determined by the BAP commission in line with the SUBU BAP directive.
